Passport appointment tips: slots, centres and what to carry
The application is the easy part — getting a slot and turning up fully prepared is where people stumble. Here is how PSK and POPSK appointments work, how to handle a rescheduling, what to carry, and the Vadodara-area picture under RPO Ahmedabad.

How appointment booking actually works
Booking is the final step of the online part of the process, and it follows a fixed order. You register on the Passport Seva portal or the mPassport Seva app, fill the application form, pay the fee, and only then book an available slot. Payment is what confirms the appointment — you cannot hold a slot without paying first.
You book at a Passport Seva Kendra (PSK) or a Post Office Passport Seva Kendra (POPSK) that falls under your Regional Passport Office, which is determined by your present address. That address link matters: you cannot simply pick any city's centre; the system routes you to those serving your RPO. Once booked, you visit in person and pass through the counters — document scanning and biometrics, verification, and the granting officer's review. Our appointment booking service page walks through the full mechanics.
Finding slots when the portal says none are available
The most common complaint is opening the booking screen and seeing no slots. This is usually not a fault — it is how the system paces demand. A few practical points:
- Slots are released in batches. Fresh slots appear at intervals rather than all at once, and popular centres fill quickly. "No slots" now does not mean "no slots ever" — it often means the current batch is exhausted.
- Check at different times. Because release timing varies, trying again later, rather than giving up after one look, is often all it takes.
- Consider a nearby POPSK. If your city PSK is saturated, a Post Office Passport Seva Kendra under the same RPO may have availability, sometimes sooner.
- Tatkal has its own availability. If you are genuinely time-pressed, the Tatkal route can open different options — weigh it using our guide to Tatkal vs normal passport.
A caution on "agents" who promise slots
Be wary of anyone claiming they can guarantee a slot for a fee through some special access. Appointment availability is controlled by the official system; there is no legitimate back door. What a professional can genuinely help with is getting your application and documents right so that when you do book, the visit succeeds — not conjuring slots that do not exist.
Rescheduling — and why you should avoid no-shows
Life happens, and the system allows for it: you can generally reschedule an appointment a limited number of times within a set period after the first booking. Historically this has been a small number of reschedules within a year, but because the exact limit and window can change, confirm the current rule on the Passport Seva portal before relying on it.
The important discipline is to reschedule properly rather than simply not turning up. Repeated no-shows can cause the application to lapse, which may mean starting parts of the process again — and the fee is generally not refunded. If you cannot make a slot, reschedule it within the allowed window; do not let it pass silently. You can keep an eye on your application throughout on the passport tracking page.
What to carry to your appointment
A smooth visit is almost entirely about being organised before you arrive. Carry:
- Appointment proof. Your appointment confirmation or Application Reference Number — the SMS with the ARN is commonly accepted as proof of appointment, but confirm on the portal.
- All original documents, plus one set of self-attested photocopies. The originals are examined and returned; the copies are retained.
- Your identity, address and date-of-birth proofs, matching what you declared. For a reissue, bring the old passport.
- Any annexures your case needs, completed and signed — consent forms for a minor, an affidavit for a lost passport, and so on. See annexures explained.
- Nothing that contradicts your file. Make sure the documents you carry agree with your application; a mismatch discovered at the counter is the fastest way to a query. Our guide to name mismatch covers this.
Arrive close to your slot time — the system runs on your allotted token, so turning up hours early does not move you up, but being late risks losing the slot. Organised documents and an on-time arrival are, genuinely, most of the job. For the full list, see passport documents.
The Vadodara-area picture
For applicants around Vadodara, a couple of local points help with planning — stated carefully, because centre details and timings change and should always be confirmed officially:
- Vadodara has a Passport Seva Kendra, and it falls under the Regional Passport Office (RPO) in Ahmedabad — there is no separate RPO in Vadodara itself.
- Several POPSKs operate at nearby towns under RPO Ahmedabad — places such as Anand, Bharuch, Godhra, Nadiad and Chhota Udaipur have been part of the operational network. If the Vadodara PSK is saturated, one of these can be worth checking.
- Confirm the exact centre, address and slot timings on the official portal. We deliberately avoid quoting phone numbers or precise timings here because aggregator sites often carry outdated or corrupted details; the reliable source is the Passport Seva Kendra locator and RPO Ahmedabad's official contact page.
Where we help — and where we cannot
From our Vadodara centre we help you complete the application correctly, pick a sensible centre, prepare your documents, and turn up ready — the things that decide whether your visit succeeds. What we cannot do is create appointment slots, guarantee a date, or influence the officers' decision. Appointment availability sits entirely with the Passport Seva system, and the passport is issued solely by the authorities. Anyone promising otherwise is overselling.
The bottom line
Every week we meet people who lost a month to a small avoidable mistake. The fee we charge exists to make sure you are not one of them. One message, a fixed written quote, and your paperwork moves.
