Who sees your information, and who never does

Documentation work means knowing things about you that are nobody else’s business — what your name used to be, why it changed, what you earn, which documents disagree with each other. This page sets out who has access to that, and the narrow circumstances in which it could ever leave the firm.

Confidentiality is not a courtesy we extend when convenient. It is the condition on which the work is done at all, and it binds everyone at Harsiddhi Services without exception.

What we treat as confidential

Everything you tell us and everything we learn while working for you. That includes the obvious identifiers — name, address, phone number, Aadhaar and PAN numbers, passport particulars, bank and GST details — and equally the circumstances behind them. Why a name is being changed. Whether a marriage ended. A date of birth that was recorded wrongly decades ago. A business that is not doing well. Those facts are often more sensitive than the numbers, and they are held to the same standard.

The fact that you are our client is itself confidential. We do not confirm to a caller that a named person is dealing with us.

Who can see your file

Only the people at Harsiddhi Services who are actually working on it. We are a small team and that is an advantage here — your file is not passed around a call centre. Everyone working at the firm, including anyone on a temporary or trainee basis, is bound by the same duty of confidentiality, and that duty continues after they stop working with us.

Where a matter is referred to Advocate N. J. Parmar for notarisation, he is independently bound by the professional obligations that attach to his own practice.

When information leaves the firm

There are exactly four circumstances, and no others:

  • To carry out your instructions. Filing your application means submitting your details to the relevant authority — the Directorate of Government Printing, the RPO, a Certifying Authority, the GST portal, Protean or UTIITSL. That is the service, and it goes only to the body your application is addressed to.
  • With your consent. If you ask us to speak to your bank, your employer, your lawyer or a family member, we will, and not otherwise. Consent to one conversation is not consent to all of them.
  • Where the law compels it. A valid order of a court, or a lawful demand by an authority entitled to make it. Where we are permitted to tell you that such a demand has been made, we will.
  • To prevent a serious crime or where disclosure is otherwise required by law — for instance where documents presented to us appear to be forged.

That list is exhaustive. Your information is not sold, rented, shared with marketing partners, used to build a list, or passed to any other business, ever. We do not take referral payments for handing your details to a lender, an insurer or anyone else.

Confidentiality in a small office

Some of this is physical rather than technical. Client papers are not left visible on the counter while the next person is being served. Conversations about sensitive matters are held so that others waiting cannot overhear, and if the office is busy and your matter is delicate, ask — we will find a quieter moment or a quieter corner.

Using your work as an example

We publish illustrative case studies. Those are composites drawn from patterns we see across many files, and they are labelled as such precisely so that nobody reads them as a real client’s story. We do not publish, quote or describe an identifiable client’s matter without that client’s express permission. If you leave us a Google review, that is your own public act and we may thank you for it — but we will not attach it to the details of your case.

Your rights

You may ask what information we hold about you, ask us to correct it if it is wrong, and ask us to delete what we are not legally required to keep. The practical test

If a stranger telephoned this office today and asked whether you are our client, what you came in for, or what your Aadhaar number is, they would be told none of it — including whether you exist on our records at all. If you are ever told otherwise by someone claiming to be us, please tell us, because it was not us.

FAQs

Questions people ask about this

Will you tell my family why I changed my name?

No. Not your family, not your employer, not a caller who says they are your relative. We do not even confirm that you are a client. If you want somebody else brought into the conversation, tell us so and we will — that decision is yours alone.

Do you share my details with banks, lenders or insurers?

Never, and we take no referral payment for doing so. Where we help with loan or insurance documentation, your papers go only where you instruct them to go, as part of the application you asked us to prepare.

Are my details safe if a staff member leaves?

The duty of confidentiality binds everyone who works here and continues after they stop working here. Access to client files is limited to the people actually working on them while they are with us.

Could a court order you to hand over my information?

Yes — a valid order of a court, or a lawful demand from an authority entitled to make it, must be complied with. That is true of any firm. Where we are permitted to tell you it has happened, we will.
