How your data is actually protected

We collect Aadhaar numbers, PAN details, passport particulars and financial information — much of it over WhatsApp, because that is how people prefer to work. This page describes the measures that protect it, in plain terms, including the honest limits of what any small firm can promise.

This policy explains the safeguards applied to personal data held by Harsiddhi Services. It sits alongside our privacy policy, which explains what we collect and why, and our document handling policy, which covers physical originals.

Collect less, hold it briefly

The strongest protection available to a firm our size is not holding data it does not need. We ask only for what the specific application requires, and we delete digital copies once the work is complete and any reasonable follow-up period has passed. Data that is not on a device cannot be stolen from it.

Devices and access

Client data is held on devices used for the firm’s work, protected by passwords or biometric locks and kept updated. Access is limited to the people working on your file. Office computers are not left unlocked and unattended during business hours, and the premises are secured outside them.

We do not store client documents on public or consumer file-sharing services, and we do not keep client files on the personal phones of people outside the firm.

WhatsApp, and being straight about it

WhatsApp is how most of our clients want to work, and its messages are end-to-end encrypted in transit — meaning the content travels protected between your phone and ours. That is a genuine protection and we are not going to overstate it. What matters equally is what happens at each end: your phone and ours both hold the conversation, so a lost or unlocked phone is the real risk, on either side.

Our practice is to keep client media in the firm’s working storage rather than scattered through a chat history, and to clear document images from message threads once a file is closed. If you would rather not send a particular document over WhatsApp at all, say so — bring it to the office and we will work from the original in front of you.

Email

Ordinary email is not encrypted end-to-end and should be treated as less private than a message or a visit. We use it for correspondence and, where you have asked us to, for sending documents. If a matter is sensitive, WhatsApp or the office counter is the better channel, and we will suggest it.

Portal credentials

Some work requires access to a government portal in your name — the GST portal, the income-tax portal, a passport account. Where you share credentials so that we can act on your instructions, they are used only for the work you engaged us for, never shared outside the firm, and never used after your engagement ends. You are entitled to change your password the moment the work is finished, and we would encourage it.

We will never ask for your banking password, UPI PIN, card CVV, or an OTP for a transaction you are not completing in front of us. There is no legitimate documentation service that needs those.

This website

The site is served over HTTPS. It has no login, no user accounts and no database of visitors. The enquiry forms do not send your answers to any server — they compose a message on your own device which you then choose to send to us on WhatsApp or by email. Nothing you type into a form on this website is stored by the website. Our cookie policy covers what little the site sets in your browser.

If a breach ever happens

If personal data we hold is lost, stolen or exposed in a way likely to affect you, we will tell you — promptly, in plain language, with what happened, what was involved and what you should do about it. We will notify any authority that the law requires us to notify. We would rather deliver bad news ourselves than have you find out some other way.

What you can do at your end

Keep a lock on your phone. Do not forward your Aadhaar or PAN images into group chats. Do not share an OTP with anyone, including someone claiming to be us. Verify our number before sending documents — the only numbers we use are +91 94267 80195 and +91 70692 98711, and our anti-fraud notice explains how to check.

The honest limit

No firm, ours included, can promise that data is impossible to compromise, and you should be wary of anyone who does. What we can promise is that we hold as little as possible, hold it for as short a time as possible, keep it on secured devices, never sell or share it, and tell you straight away if something goes wrong.

Questions people ask about this

Is it safe to send my Aadhaar on WhatsApp?

WhatsApp messages are end-to-end encrypted in transit, which protects them on the way. The real risk sits on the phones at either end, so keep yours locked. If you would rather not send it at all, bring the document to the office and we will work from the original in front of you.

Do you keep my documents after the work is done?

Digital copies are deleted once the work is complete and any reasonable follow-up period has passed. Originals are returned as soon as the process allows. You can ask us to delete your copies sooner and we will, subject to anything the law requires us to keep.

Will you ever ask me for an OTP?

Never for your banking, and never for a transaction you are not completing with us in person. Some government processes generate an OTP that you enter yourself while sitting with us — that is different, and you will be doing the entering. Anyone phoning to ask you to read out an OTP is not us.

Does this website store what I type into the enquiry form?

No. The form runs entirely in your browser and composes a message on your own device. Nothing is sent anywhere until you choose to send it to us on WhatsApp or by email. There is no database behind this site.
