Overview

How a proprietorship works under GST

A sole proprietorship has no legal existence separate from its owner. That single fact shapes everything about its GST registration: there is no firm PAN, no deed, no incorporation certificate and no board resolution. The GSTIN is issued on your personal PAN, your trade name (say, "Shree Traders") is recorded alongside your legal name, and you yourself are the authorised signatory by default.

This makes proprietorship the fastest entity type to register — most of our proprietor clients can share every required document from their phone in one sitting. It also means the compliance responsibility is personal: returns, tax and any late fees attach to you, not to a separate entity.

Because the registration rides on one PAN, your aggregate turnover is counted PAN-wide across India — a kirana store and an online side business on the same PAN add up together against the threshold.

Thresholds & triggers

When a proprietor must register

In Gujarat, a normal-category state, registration becomes compulsory when aggregate turnover in a financial year crosses ₹40 lakh for exclusive supply of goods or ₹20 lakh for services (or mixed supplies). Turnover here includes taxable, exempt and export supplies across all your business activities on the same PAN.

Separately, Section 24 of the CGST Act makes registration compulsory regardless of turnover in certain situations that commonly apply to proprietors:

  • Selling goods through e-commerce platforms that collect TCS — Amazon, Flipkart, Meesho and similar marketplaces. A limited intra-state exemption exists since October 2023, but most marketplace models still require a GSTIN.
  • Inter-state supply of goods — sending goods to buyers outside Gujarat. (Inter-state service providers keep the ₹20-lakh exemption.)
  • Liability to pay tax under reverse charge, or acting as an agent supplying on behalf of others.

When you do not need GST registration

We will tell you if ₹499 is money you should not spend

You generally do not need GST registration if you sell goods only within Gujarat below ₹40 lakh turnover, or provide services below ₹20 lakh, and none of the compulsory triggers above apply. A tailor, tuition teacher or local retailer under the threshold can lawfully run without a GSTIN. Voluntary registration has genuine uses — B2B clients wanting input tax credit, marketplace onboarding — but it also commits you to filing returns every month or quarter, with late fees if you slip. When a client's situation does not justify registration, we say so before taking the fee.

Checklist

Documents required for a proprietorship

This is the shortest document list of any entity type — everything belongs to you personally:

  • PAN card of the proprietor — the registration is built on this PAN
  • Aadhaar card of the proprietor — used for Aadhaar authentication, which puts you on the faster approval track
  • Passport-size photograph (recent, plain background)
  • Proof of principal place of business — electricity bill or property tax receipt; if rented, add the rent agreement; if the premises belong to a family member, a consent letter (NOC) from the owner
  • Bank proof — cancelled cheque, statement or passbook first page (can also be added after registration through a non-core amendment)

Names should match across PAN and Aadhaar; a mismatch is a common reason for the officer's query notice. The official checklist is published on the GST portal's registration help page — worth a look if your premises situation is unusual (shared shops, SEZ units and so on).

Process

Registration process, step by step

  1. Part A of Form REG-01PAN, mobile and email are validated with OTPs on gst.gov.in, generating a Temporary Reference Number (TRN).
  2. Part B — the full applicationBusiness details, trade name, place of business, goods/services (HSN codes) and document uploads. We prepare this end-to-end so nothing triggers an avoidable query.
  3. Submission and ARNThe application is signed with EVC and an Application Reference Number (ARN) is generated. You can track it anytime on the portal's Track Application Status page.
  4. Aadhaar authenticationOTP-based e-KYC of the proprietor. Risk-flagged applications are directed to biometric Aadhaar verification at a designated centre — the portal emails an appointment if this applies.
  5. Approval — Form REG-06With Aadhaar authentication and no flags, the officer must approve or query within 7 working days; otherwise physical verification can stretch it to 30 days. A query arrives as REG-03 and must be answered in REG-04 within 7 working days — we draft that reply for you at no extra charge.

Small-business fast track

Since November 2025, an optional simplified registration route (Rule 14A) offers auto-approval within 3 working days for small, low-risk applicants who self-declare a modest monthly output tax liability and complete Aadhaar authentication. Eligibility limits are specific — confirm the current conditions on the official portal before relying on it.

Smart pairing

Most proprietors registering for GST are, by definition, micro or small enterprises — and Udyam registration is free, quick and genuinely useful alongside a GSTIN. It opens access to MSME-oriented benefits such as priority-sector lending consideration and protection provisions on delayed payments, and many buyers and tender portals ask for the Udyam certificate together with the GST certificate. After the GSTIN

What changes once you are registered

The certificate (REG-06) with your 15-digit GSTIN must be displayed at your place of business, and the GSTIN quoted on invoices and your signboard. From that point, return filing is not optional:

  • Regular scheme: GSTR-1 by the 11th and GSTR-3B by the 20th of the next month — or quarterly under QRMP if turnover is up to ₹5 crore (Gujarat's quarterly GSTR-3B falls on the 22nd). Nil returns are still returns. Details and our ₹499/month filing service are on the GST return filing page.
  • Composition scheme: a flat-rate alternative for smaller businesses — 1% for traders and manufacturers, 6% for eligible service providers — with a quarterly payment statement (CMP-08) and one annual return. See whether it suits you on our composition scheme page.

Also note the discipline the portal now enforces: auto-populated GSTR-3B figures are locked (corrections go through GSTR-1A), and returns cannot be filed more than three years after their due date. Falling behind is costlier than it used to be.

Proprietorship GST — common questions

Does a proprietorship need a separate PAN for GST?
No. A sole proprietorship has no legal identity separate from its owner, so GST registration is taken on the proprietor's personal PAN. The trade name you enter during registration appears on the certificate alongside your legal name.
Can I register for GST using my home address?
Yes, a residence can be shown as the principal place of business. You will need ownership proof such as an electricity bill or property tax receipt, and if the premises are rented or owned by a family member, a rent agreement or a consent letter (NOC) from the owner.
How many GST registrations can a proprietor hold?
One registration per state on the same PAN is the norm. If you operate from places of business in more than one state, you must register separately in each of those states; all of them share your PAN and count towards one aggregate turnover.
What does GST registration cost for a proprietor?
The government charges no fee for GST registration on the portal. Our professional fee is ₹499 one-time, which covers document review, application preparation, filing and follow-up until the GSTIN is issued or the officer's query is answered.
How long does approval take?
With successful Aadhaar authentication and no risk flag, the officer must approve or raise a query within 7 working days. Applications without Aadhaar authentication, or those flagged for physical verification of the premises, can take up to 30 days.
Do I need a current account before applying?
No. Bank details are optional at the application stage and can be furnished after registration through a non-core amendment. Many proprietors open the current account after receiving the GSTIN, since banks often ask for it.
My turnover is below the threshold. Should I register voluntarily?
Sometimes it helps: B2B customers may insist on a tax invoice with ITC, and marketplaces generally require a GSTIN for goods. But voluntary registration brings return-filing obligations every month or quarter, with late fees if you miss them. Register only if the business case is real.
Can a proprietor opt for the composition scheme?
Yes, if preceding-year turnover is within ₹1.5 crore for goods traders and manufacturers, or ₹50 lakh for service providers. Composition dealers pay a small flat rate, cannot collect tax or claim ITC, and cannot make inter-state outward supplies. See our composition scheme page for the full picture.
Which returns will I have to file after registration?
A regular taxpayer files GSTR-1 (outward supplies) and GSTR-3B (summary and payment). With turnover up to ₹5 crore you can opt for the QRMP scheme and file both quarterly, paying tax monthly. Returns are due even for months with zero sales.
What if I close the business later?
Apply for cancellation in Form REG-16, clear any pending returns and tax, and file the final return GSTR-10 within 3 months of the cancellation order. Leaving a GSTIN dormant without filing invites notices and late fees — our GST cancellation page explains the clean way out.
